How to use the seating chart maker

  1. Add your tables

Start from the default round table or add more. Set how many seats each table holds, and delete any table you no longer need. Round tables are the most common at a wedding reception because guests can see each other across them.

  2. Build the guest list

Add every guest by name. Mark a guest with a party hint when they should sit with someone — a family member, a close friend or a colleague — so the auto-seater keeps the group together on one table whenever it fits.

  3. Seat the people

Assign a guest to a free seat on any table, or run auto-seat to fill the open seats in table order. Move someone by unseating them and putting them back, which is quicker than a spreadsheet once the list is long.

  4. Save and share

Keep the chart in your browser as you work, then export it as JSON to hand to your planner, or print the table list for the venue and the caterer so the table order and the serving plan match.

Reading the seating chart

The summary strip counts your tables, how many of the total seats are filled, and how many guests are still unassigned. Each table card shows its free seats and a ring of seat chips: a solid chip is a seated guest, an outlined number is a free seat. The guest list marks who is seated and who is not, so anyone still waiting is obvious.

A chart is a plan, not a fixed rule: it is the arrangement you are deciding, and it is meant to be changed as invitations are answered and the confirmed list grows. Keeping the whole thing on one screen is the point — you spot a table that is too full or a guest who has no seat at a glance.

Choosing tables and seat counts

Most wedding receptions use round tables, typically seating six to eight guests with a place for each; long (banquet) tables seat more but put people on the edge. Set each table in the chart to the number of chairs you will actually place, and leave the head table or a couple of extra seats unassigned until the last minute so late guests have somewhere to go.

Work out the table count from the confirmed guest list: divide the number of guests by the seats per table, and round up so everyone has a place. The chart shows the total free seats at all times, so if it is negative you need one more table.

When a seating chart helps

  1. Keep families and friends together

Set a party hint and the auto-seater sits each group on one table while there is room for all of them, which is usually what everyone wants at a wedding.

  2. Balance the room

See which tables are full and which have space, and spread the crowd across the venue so no table is crowded while others sit half empty.

  3. Coordinate with your venue and caterer

Export the chart and share the table list so the head table, the band or cake table, and the serving order all line up with where the people actually are.

  4. Adapt as the list changes

When an invitation is accepted or a guest cancels, unseat or add them and re-run auto-seat. The chart is a living document for the whole run-up to the day.

Frequently asked questions

Is this wedding seating chart maker free?

Yes. It runs in your browser with no account and no cost: add tables and guests, seat people and export the chart, all free. Nothing is uploaded.

How many tables and guests can I add?

As many as you need. Add round tables of any seat count and a guest list of any length, then seat or re-seat everyone until the room is set. The summary shows the total free seats and how many guests are still unassigned at all times.

Can I keep a wedding party or family together?

Yes. Mark a guest with a party hint and the auto-seater seats that person with the rest of the group on the same table whenever there is room for all of them. It does not break the group to fit a table that is too small.

How do I get the seating chart to my planner or caterer?

Use the export button to download the chart as a JSON file. You can open it again to keep editing it, and it is a plain list of your tables, guests and seats that you can hand over or print as the table list.

Does the chart save automatically?

Your work stays in this browser while you are on the page. Use the export button to keep a copy as a file, since closing the tab starts a new chart.

What is the difference between a seating chart and a seating plan?

They are the same thing, used slightly differently: a seating plan is the full list of who is where, and a seating chart often shows the tables laid out on the venue. This tool keeps both in one place — the table layout and the guest list — so you never have two documents to keep in sync.
